Commissions

Commissions allows a 3rd party, such as a concierge to be paid for referred bookings based on a pre-determined rate.

The actual commission monies are tied to individual inventory items in the Billing section, which allow for granual tracking and reporting of commissions.

Setting up an agent

  1. Start the Booking Agent.
  2. Click Tools > Accounting > Agents.
  3. Click New Entry.
  4. From the Agent Properties window, click Search icon to the right of the Agent field.  Find or create a new entry in the Address Book.
  5. Enter a Service.  This allows you to group together like agents, such as Concierge.
  6. Enter a Member identifier.  It is recommended that you use a numeric member for easier tracking or agents and web logins.

    Example:

  7. Check Enable commissions for this agent and set a default commission rate.
  8. Optional. Allow the agent to login through the web bookings interface.

    Note: The web bookings must be activated by an Administrator from File > Configuration > Licensing > Web Bookings.

    1. Click the Web tab.
    2. Check Enable agent web login.
    3. Set options as desired.
    4. Enter a Password for web login.
  9. Click OK to save and close.

Setting up an inventory item for commission

  1. Click Tools > Accounting > Inventory from the main window.
  2. Select an existing inventory item or click New Entry and create a new inventory item.
  3. Check Commissioned.
  4. Click OK to save and close.

Adding an agent to a booking

  1. Create or edit an existing Booking.
  2. Click the Search icon to the right of the General tab > Customer > Agent field.
  3. Search and select an agent from the Find Agents window.
  4. Click the Billing tab.
  5. If the Inventory item is marked as commissioned, then the agent will show underneath in the billing list.
  6. Optional. To manually add a commission.
    1. Select an existing inventory item or Add one to the Billing tab.
    2. Click the Edit button.
    3. In the below Agents tab, select New Agent.
    4. Press the Enter key, or double click on New Agent.
    5. Click Find and select an agent from the database.
    6. Optional. Set an alternate commission.
    7. Click OK to save and close.

Activating a commission

  1. Create or select an existing booking with an attached commission.
  2. Click the General tab > Checked box.  This will enable the commission for processing.

    Note: The activation through the Checked box is the default setting for the system configuration.  Administrators can adjust these settings from File > Configuration > Bookings.
  3. Optional. To manually activate the commissions.
    1. Click the Billing tab.
    2. Select the commission from the list or follow the steps above to manually add a commission to an inventory item.
    3. Click Find to select an agent.
    4. Uncheck the Pending checkbox.
    5. Click OK to save and close.

Reporting of commissions

  1. Click View > Web Reports.
  2. In the Accounting section, click Commissions Report.

Note: When processing the commissions report, the search dates are based on departure date.
